Challenge:
Building and managing the virtual platform for CoalSafe 2021 started in June with careful project planning sessions. Our team was tasked with setting up the virtual platform that includes information on speakers, fund raising initiatives and a high level agenda. Our team liaised with sponsors to build out virtual booths.
Solution:
On-boarding for sponsors ensured they trained in all the features of the platform. Speaker management included dry runs and briefing sessions with remote presenters. Camera teams were deployed in advance for location shoots. Panel discussions were conducted on MS Teams and edited to include the event look and feel. The briefing was extended to companies who hosted viewing hubs at their offices to ensure a seamless experience on the day for virtual attendees. Script writing, technical run of show and virtual set design became the final focus before the lights and cameras were switched on. A make up artist added her final touches before the MC and hosts took their place on screen. The conference was made engaging with highlighting winners and offering them an opportunity to give an acceptance speech live, from the comfort of their offices. Lucky draws add the touch of spontaneity.
