A large virtual event, with a large group of delegates and high level technical requirements. Event Options generated a detailed communication plan to market the event to attendees.
Solution:
Lights, camera action! To ensure the event ran smoothly, Event Options coordinated technical checks with remote speakers to ensure sound and light quality was ready for the virtual audience.
- Full RSVP with reminders over multiple channels. A detailed communication plan ensured the event was top of mind for all attendees.
- The next step was to create a solid production schedule and this included co-ordinating booking a studio for the pre-recorded elements and working with the editor to produce a broadcast quality product for streaming.
- The actual event was mixed with live streaming and in person Q&A time.
- Tech checks with remote speakers were conducted each morning, making sure the sound and lighting was ready for the virtual audience.
- A final thank you for joining mail to all attendees included access to a virtual goodie bag which was hosted on a mini-website built especially for that purpose.
